The Challenge

The company had a busy inbound sales pipeline — receiving between 180 and 220 new enquiries per month through their website contact form and LinkedIn campaigns. On the surface, this looked like success.

But their Head of Sales had a different view. In a conversation that led to this engagement, he put it plainly: 'We are getting plenty of leads. The Diagnosis

After our initial discovery session and audit, we identified three core problems:

The Solution: What MautoAI Built

Component 1: Website Chatbot Qualification Flow

We built a conversational chatbot that engaged every new website visitor who showed buying intent — those who visited the pricing page, the product tour page, or the contact page. The chatbot had a natural, friendly conversation that gathered the four key qualification signals: company size, current tool stack, primary challenge, and timeline.

Based on the answers, the chatbot either immediately offered to book a call with a sales rep (for qualified leads) or directed the visitor to a relevant resource and enrolled them in a nurturing email sequence (for not-yet-ready leads).

Component 2: WhatsApp Follow-Up Automation

For leads who submitted the contact form without going through the chatbot, we built a WhatsApp automation that sent a personalised message within 3 minutes of form submission, asked two qualifying questions, and either booked a meeting automatically or routed them to the right follow-up track.

Component 3: Lead Scoring and CRM Integration

We built a lead scoring model inside their CRM that combined the chatbot qualification data, WhatsApp responses, email engagement, and website behaviour into a single score for each lead. Sales reps opened their CRM each morning to a prioritised list — highest-scoring leads at the top, with all qualification context attached.

Component 4: Not-Yet-Ready Nurturing Sequence

For the 40% of leads who were not immediately sales-ready, we built a 6-email nurturing sequence that provided genuinely useful content about their primary challenge, demonstrated the company's expertise, and gently moved them toward a buying decision over 30-45 days.

Key Learnings

This engagement reinforced several things we see consistently in AI lead qualification projects:
